Reactivation Desk

Your past customers have gone quiet. We help them book again.

Most local businesses are sitting on a list of people who came in once, liked the place, and then drifted off. Nobody meant to lose them. There was just never a spare afternoon to go through the list and follow up properly. The Reactivation Desk does that work for you. We sort your past customers, write to the ones who have gone quiet, handle the replies, and book them back into your calendar.

Who this is for

Built for businesses that live on repeat visits.

Dentists and clinics

Patients who are overdue for a cleaning, a check-up or a follow-up they booked once and never rebooked. They already know you and trust you. Most of them just need to be asked at the right moment.

Med spas and salons

Regulars who used to come in every few weeks and have quietly stopped. A personal note in your name lands very differently from a general offer blasted to strangers.

HVAC and auto shops

Customers due for seasonal service, maintenance or the next job on a list they mentioned and never got around to. Your past invoices are a booking calendar waiting to be reopened.

Any appointment book with quiet names in it

Physio and rehab clinics, groomers, detailers, home-service crews. If people book, buy, and then need the same thing again later, there are customers in your records who have not heard from you in far too long.

Finding a brand-new customer is the expensive way to fill a calendar. The people on your own list already chose you once, and bringing one of them back usually starts with a single well-timed message. The problem has never been willingness. It is the hours it takes to go through the list properly, write to each person like a person, and keep up with the replies. That is the part we take off your plate.

What happens

From a quiet list to bookings, in four steps.

Step 1

We sort your list

  • Your past customers are grouped by what they bought and how long they have been quiet
  • People who have opted out, moved on or already rebooked are taken off before anything is sent
  • You see who will be contacted, and you can pull anyone off the list

Step 2

Messages go out in your name

  • Short, personal emails and texts that read like they came from your front desk, because you approved them
  • Each message refers to what that customer actually came in for, not a generic offer
  • Every message carries a clear opt-out, and it is honoured straight away

Step 3

We handle the replies

  • Questions, changed numbers, not-right-now answers and bookings are all answered for you
  • Anything that needs your judgement is passed to you with the full conversation attached
  • Nobody gets chased. A person who says no, or says nothing, is left alone

Step 4

Bookings land in your calendar

  • Confirmed bookings go into the calendar you already run your day from
  • You get a plain summary of who was contacted, who replied and who booked
  • Your customer list stays yours, and the cleaned-up list comes back to you
Straight talk

How we treat your customers' trust.

Only your own past customers

Messages only go to people who have already bought from you or booked with you. We do not work with bought or rented lists, and we will not message strangers on your behalf.

Consented, with an opt-out every time

Every message carries a clear way to opt out, anyone who uses it is removed, and the outreach is run to Canada's anti-spam law, CASL. Done properly, a reactivation message feels like good service, not spam.

You approve the words first

Nothing is sent until you have read it and said it sounds like you. If a message would embarrass your front desk, it does not go out.

The Reactivation Desk is run by OrivantAI, an Ontario-based studio. We will also tell you straight if your list is too small or too old to be worth the work. Not every list should be reactivated, and we would rather say that on the first call than take on a job that cannot pay for itself.

FAQ

Questions, answered.

What list do I need to give you?

Just the customers you already have. Names and a phone number or email address, roughly when they last came in, and what they came in for is enough to start. It can come straight out of your booking software, your till system or a spreadsheet. It does not have to be tidy, because sorting it is the first part of the work.

Do the messages come from my business?

Yes. Messages go out in your business's name and sound like your business, and you approve the wording before anything is sent. People who reply are talking to your business, and the booking goes into your calendar, not onto a separate platform.

What about spam law and consent?

Messages only go to your own past customers, people who have already bought from you or booked with you. Every message carries a clear opt-out, anyone who opts out is removed, and the outreach is run to Canada's anti-spam law, CASL. We do not work with bought or rented lists, and we will not message people who have no history with your business.

What do I actually have to do?

A short call to start, a copy of your customer list shared securely, and a few minutes to approve the messages. After that we handle the sending and the replies, and you keep your calendar up to date so we book into real openings. Your part after launch is welcoming people back when they arrive.

What does it cost?

Every engagement is priced per engagement, in writing, before work starts. The price depends on the size of your list and how much of the reply handling and booking you want us to carry, which is what the first short call works out. You will see a fixed price in writing before you commit to anything, and there is no obligation if it does not make sense for your business.

Start with the customers you already earned.
